In this Commons release (June 27), Canvas account and subaccount admins can access account settings in Commons to manage public sharing and viewing options for their account. We also have an update to account and subaccount visibility.


To have Commons enabled in your Canvas account, please contact your Customer Success Manager.


New Features


Admin Settings

This release is the first part of the admin controls feature. Additional features to allow better admin management will be available in a future release.

Located in Commons Navigation, Canvas account admins have access to an Admin Settings menu where they can manage settings and shared resources for their account.




  • Canvas account admins are automatically made account admins in Commons.
  • Canvas subaccount admins can also access Admin Settings in Commons. 
  • Users will be able to share and view public content by default.


Admins can manage (search, view, remove) all resources shared by their institution that are not private to the author/sharer. Admins can also edit resource metadata (details, content licensing, share option); however, they cannot edit or update resource content.

Resource Details

Show Shared With Options

On the resource details page, users can view the Shared with options they have access to see (i.e. account, subaccount(s), public, private).



Search and Remove Shared Resources

On the Shared page, users can manage (search, filter, remove) their shared resources.



Account and Subaccount Visibility

Canvas root account admins can see the root account and all subaccounts within the root account. Canvas subaccount admins can see the root account, the subaccount they are an admin of, and all children subaccounts of said subaccount. Teachers can only see the subaccounts their courses belong to and the root account.


Shared with Filter

The Shared with filter limits visibility to 10 options; users can scroll to view more.
