Granular Permisson Options for Observer Role

For our purposes, primarily for parents, the Observer Role allows the observer to access too many items. For instance, we would like Observers to only be able to:

Ideally, we would like to set a new role with the following permissions to use with our student advisors and parents:
 
    • View the calendar
    • View grades, view assignment due dates and comments, and print grades
    • View modules and see due dates and point values
    • View profile pictures, if available
    • View syllabus

We would like to either create the ability to turn off specific options for an advisor in addition to the ability to view discussions or not.

Or it would be nice to have a parent role created with more limited sets of permissions.

All of the things you listed are possible, but I'm wondering what you'd like to limit. I think that will help others clearly understand what additional granularity is needed.

Would you like to prevent Observers from seeing assignment details and information? Would you like to prevent Observers from seeing Pages (though, this would include a Home Page)?

Yes, the biggest items that we would like to prevent are observers seeing submitted assignments, quizzes, and teacher feedback.

 

All we would like for them to see are pages, grades, assignments, assignment details (but not submissions), calendar, and syllabus, as I described in my original post.

Hi @KristinL  For us, we need a way for our observers (who in our instance as we are a work-based learning organisation) are our learner's employers -  to be able to comment on assignments. They can see the information that the apprentice learner has uploaded, and they ideally should be able to comment on it, agree that this work was built, or painted etc by that learner apprentice - but we don't want them grading them at all. 

At the moment the ability to comment in Speedgrader is tied to the 'Grades - edit' permission, which also allows them to changes grades/mark rubrics etc. So if there was granularity to split that permission we could provide that option for our employers/observers.

We would also like the option to limit parents from certain visibility, but with the option to turn that visibility on during certain points in the year. 

Similar to Vinnie's original post, we would like parents/observers to:

  • View the calendar
  • View assignment due dates and comments, and print grades
  • View modules and see due dates and point values
  • View profile pictures, if available
  • View syllabus

Additionally, related to viewing grades, we would like parents to be able to see these during "open grade book" periods (six times a year). The option for a continuous open grade book is not favored by our administration. We would, however, like students to continue to see their grades throughout the year. 

 

Is it possible to granularly limit what is viewed and by who?

Hi for our user case - work based learning - we would really like the permissions for commenting and grading separated for Observers.

This would mean that our observers (who are the employers of apprentices) can comment on work submitted in assignments to verify that the work was done by that apprentice and at what milestone level (for example yes this building apprentice did build that deck and he/she did this with limited supervision).

But it is the Training Advisor (Teacher role) who moves milestones in rubrics (grading).

We have had to build a work around to enable this functionality - but if the commenting and grading permissions were separated from one another this would not be necessary.

As part of the new Ideas & Themes process, all ideas in Idea Conversations were reviewed by the Product Team. Any Idea that was associated with an identified theme was moved to the new Idea & Themes space. Any Idea that was not part of the move is being marked as Archived. This will preserve the history of the conversations while also letting Community members know that Instructure will not explore the request at this time.
