Students names in gradebook

Jump to solution

In gradebook, some students are listed by their full names while others are listed by their email address causing several problems -- (1) student names can be difficult to interpret from email addresses and (2) email addresses put students out of order alphabetically making it more difficult to enter student grades quickly and efficiently.  Is there a way that I can change the email addresses to student names?  Or, does the individual student need to update their account to indicate their name?  Help!!!

Hi denisep@csufresno.edu

Welcome to the community. There are a few questions, which might help get you the best possible answers.

(1) Are you on the Free For Teacher site or has your district/school purchased Canvas?

(2) Did students create their own accounts or did the school create them? (I'm suspecting students)

If you are a FFT account then you must ask the students to change their settings. It's easy to project the settings area and show the students how it should look, or take a screenshot then send it out via Remind or via email.

If you are using a district/school purchased version then anyone with admin rights can change the student settings; however, I suspect they'd have done student name imports.

Here is a similar question with more advice for you:

An important note in the above answer is identification requirements at the higher ed level.

I hope this helps.

All good questions.  My understanding is that our University purchased Canvas and that the student information was "automatically" uploaded into my course when the student registration process took place.  We just switched to Canvas at the end of May so I'm on a steep learning curve for the summer semester!!  Will follow up with the University's technology folks!  Thank you for your response and suggestions!!

Hi denisep@csufresno.edu

You are on the right track in talking with your school's tech folk!

With a Canvas hosted account and your school running an SIS/Canvas integration to populate enrollments, it is quite likely that this is an integration issue. Either the script is capturing student name from an incorrect field in your student information system, or there is a data entry/integrity issue in your SIS, and student emails are entered into a student name field in the SIS (doubtful in the volumes you mentioned).

Depending on your SIS vendor and the integration app, this can sometimes be tricksie to set up!

I suspect you are not the only teacher noticing this, and your tech folks (both IT and eLearning) need to be made aware of this issue as soon as possible. For example,  I remember considerable discussion and troubleshooting of issues with Banner SIS systems and Canvas integration a few years back; and, apparently, there are still conversations around this as it is scheduled to be one of the presentations at InstructureCon 2019 https://community.canvaslms.com/community/instcon/instructurecon-2019/blog/2019/06/13/batch-file-int...

Good luck with all of this.

Kelley
