Outside access to Canvas

We recently discovered that faculty were allowed to invite outside parties to assist with their classes on Canvas. While I understand doing this, there isn't a process in place to vet these individuals. I would also think that there is a possible FERPA violation if there isn't some sort of agreement with the institution.

Does anyone have any best practices on this and/or am I way off in my thinking.

At my institution, we have to have the Dean/Director sometimes the departmental VP request access to the our IT Department in order to have outsiders access Canvas, even if they require access to our resources such as logging in to the computers and our WiFi. It depends on how granular the access is needed. The more granular, the higher approval that is required. I hope this helps as a starting point.
