What is the best way to inactivate a user (Students Withdraw from Program; Staff/Faculty Retire; etc.) without deleting them from the system?
Hey Kathy, right now you have two options:
1. Delete their enrollment How do I delete an enrollment in my course?
2. Conclude their enrollment How do I conclude an enrollment in my course?
#1 Is what we do because Registration does not want the students to have any access to the course if they are dropped. However, this does present problems when faculty need to access information about the student's participation in the course. Our workaround for that is to re-enroll the student in test or beta instance and access the information that way. How do I access the Canvas beta environment?
#2 If you don't have my problem I recommend #2 because you can still access information about the student's participation in the course.
However, there is a feature coming that will address this. Check outInactive enrollment status for withdrawn students
To piggyback off of Adam's wonderful help, we go the #2 route (that doesn't sound right) for our distance education courses because we are on rolling enrollment.
Depending on why you're inactivating them we either conclude them (students) or change their login name (students and faculty).
We've been doing this for a couple of years and it's worked pretty well for us!
