[ARCHIVED] Any tool to make the ID work process clear?

I am an instructional designer at Higher Education area. I have been looking for a tool (project management tool maybe?) which can be used between faculty and me to make the working process clear. For example, using this tool, we can mark the time of our meetings, note what we discussed during the meeting, what tasks have been done and what haven't done yet; what are the faculty's responsibilities and what are the ID's. In this way, both of us will know our work flow, and it is also easier for our supervisor to monitor and give us advice.

Anyone have recommendations or experience? Welcome to share! Thank you in advance!
