FEV Tutor takes a collaborative approach to deliver live, virtual tutoring solutions to K-12 schools and districts. We work directly with teachers and administrators to align tutoring to our partner’s standards, curriculum, goals, and initiatives. The result is a targeted tutoring program that represents a natural extension of the student’s core classroom.

Accessibility

The data is fully accessible (exportable in .pdf .txt and .csv) to the school division upon installation and throughout the term of the agreement. FEV Tutor provides automated push reporting and manual pull reporting capabilities. Documents can be exported via .pdf and results can be exported via .csv and .xls. FEV Tutor will work with the school division to develop and set up an automated feed via API or LTI. FEV Tutor also offers integrations into LMS/SIS like Canvas (Instructure) and Genius SIS, and others that the school division may utilize so that an automated data feed can be set up.

Data encryption

 

Wherever we collect sensitive information (such as credit card data), that information is encrypted and transmitted to us in a secure way. You can verify this by looking for a lock icon in the address bar and looking for "https" at the beginning of the address of the Web page. 

While we use encryption to protect sensitive information transmitted online, we also protect your information offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment. 

FEV Tutor leverages the following types of database encryption based on the specific product offering. Business Application Encryption (BA), DBMS Application Encryption (DA), DBMS Package Encryption (DP), and DBMS Engine Encryption (DE). FEV Tutor also deploys secure sftp sites for data connection, where it is outside of the platform. Sensitive data is encrypted in storage, in the FEV Tutor system and cloud. FEV Tutor will provide an accounting of all mandatory and optional PII data fields used on the platform. Mandatory PII fields include basic student identifiers such as Student ID Number, Student Name and Student Grade Level. Optional PII data fields include tags like Special Education, English Learner (EL) and Guardian Contact Information.

Data retention policy

FEV Tutor is committed to data retention that is in the best interest of our school, district partner, and their students. Data is retained only for academic programming purposes. We will not retain student personal information beyond the period required to support the education organization, or as authorized by students/parents. 

Upon contract absolvement, data is either handed over to the district and/or destroyed. The data becomes the school or district’s property and FEV Tutor will agree with the district on the best way for it to change hands or be destroyed at the end of the contract. If you have any questions about reviewing, modifying, or deleting any personal information of a student, please contact your school directly.

Incident management program, policy, and testing Formal incident response plans are both internal and external and involve written communication (via email and documented within our system) and also verbal via a meeting or phone call. Then it is archived in our systems for ongoing analysis.
Disaster recovery and business continuity plan and testing

The servers in Cloud with 99.9% SLA in place, Current code is clearly tagged and kept in the source control and an additional backup which makes it 3-2-1 rule is maintained. Daily automated RMAN (Oracle) and differential backups are taken for DB and we take a full backup of the DB every week. Database backups are also treated as normal backup and included in the main backup plan.
FEV Tutor developed a process of communicating to clients around those impacted by data-related events. There is immediate email and phone communication with clients, with a summary of events, and plan of action to resolve. Its documented in our system and archived for analysis.
FEV Tutor's BCP is reviewed annually at key stakeholder meetings. In order to continue to scale our work in K-12 Education, this is a crtical discussion point, in contiuinty of the business, back up plans, and scaling technology.

COPPA Policy FEV Tutor collects information from children only in the direction of a school or educational institution for the purpose of providing our services. We rely on each school to obtain consent and provide appropriate and disclosure, if necessary, for us to collect any student information from students under 13, as permitted by the Children’s Online Privacy Protection Act (COPPA). Please contact us at support@fevtutor.com if you believe we have inadvertently collected personal information from a child under 13 without proper consent so that we may delete such information as soon as possible.

Types of data collected

Information you provide to us directly- We ask for certain types of personal information when you correspond with us, request a demo, request a speaker or otherwise engage with us on our Website, including your name, school name, school district, email address, and/or user name and password, and phone number. We may also collect personal information when you correspond with us via email. We use the personal information we collect to operate, maintain, and provide the features and functionality of the Website and to communicate with you.

Third-Party Tracking and Online Advertising: We may permit third-party online advertising networks to collect information from visitors to our Website: https://www.fevtutor.com/ to provide customized content, advertising, and commercial messaging to you from time to time on other websites or services. Typically, the information is collected through cookies or similar tracking technologies. Please note that although we may permit third-party advertising partners to collect information on our Website for the purpose of sending targeted advertisements, our Website is not directed to Students. We do not use Student Data for marketing or targeted advertising purposes. 

We do not collect, maintain, use, or share student personal information beyond that needed for authorized educational/school purposes, or as authorized by the parent/student. ‘Educational/School purposes’ are services or functions that customarily take place at the direction of the educational institution/agency or their teacher/employee, for which the institutions or agency would otherwise use its own employees, and that aid in the administration or improvement of educational and school activities (e.g., instruction, administration, and development and improvement of products/services intended for educational/school use). 

Cookies or Tracking Technologies used

Like most websites and online services, we automatically collect certain types of usage information when you visit our Website. This information is typically collected through cookies, log files, web beacons, and similar tracking technology (collectively, “cookies”). Analytics performed on Customer Data We may collect analytics data, to help us measure traffic and usage trends for the Website. 

We may use data that has been de-identified and/or aggregated for product development, research analytics, and other purposes, including for the purpose of analyzing, improving, or marketing our service. If FEV Tutor publicly discloses or shares with third parties (e.g., in marketing materials, published research, analytics, or in application development) information that is derived from student data, such data will be aggregated and/or anonymized to reasonably avoid identification of a specific individual. 

In the event of a change of control: If we sell, divest or transfer the business or a portion of our business, we may transfer information, including student personal information to the new provider to maintain, provided that the new provider has agreed to data privacy standards no less stringent than our own. 

Data correlation practices Application logs are captured directly in the FEV Tutor platform where they are stored for the whole duration of the Academic Year and are available upon request for subsequent Academic Years. Log files include: Student ID, Student Name, Grade Level, Tutor Name, Timestamp of Tutoring Sessions, Scheduled Duration, Actual Duration, Session Recording Links, Chat Transcripts, Tutoring Subject, Standard, Learning Objective, Exit Ticket Score, Student Qualitative Feedback, Student Quantitative Feedback Rating and Tutor Progress Notes. FEV Tutor offers a flexible user hierarchy that includes reporting dashboards for Network Admin, District Admin, School Admin, Program Admin, Teachers, Students and Parents. All users have real-time access to pull logs directly from the platform. FEV Tutor is also able to push daily and weekly logs out to school districts through sFTP, LTI or API.
Targeted Advertising using user data

We are the sole owners of the information collected on this site. We only have access to/collect information that you voluntarily give us via email or other direct contacts from you. 

We will not sell or rent this information to anyone.

We will use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request, e.g. to ship an order. All third parties who receive personal information about our users are not permitted to use personal information they access or receive from us for any other purposes than as needed to carry out their work for us. If vendors require student personal information in order to deliver our service, these third parties are obligated to adhere to FEV Tutor’s commitments to data use and security as stated within this privacy policy.
