Permissions: Course Sections Granularity (2021-01-16 Release)

Summary

The Course Sections - Add / Edit / Delete permission has been separated into three separate permissions.

Change Benefit

This change provides granularity among the three options to manage sections. This update does not affect the Sections API.

Affected User Roles

Admins

The three sections permissions are grouped as the Manage Course Sections permission. As with other permissions, the row displays icons that represent the permission status for the user role. All three permissions within the group can be managed together by clicking the main icon for the user role.

Manage Course SectionsManage Course Sections

To manage individual permissions within the group, the group can be expanded. Each granular permission that is enabled includes a check mark. Individual permissions for the group can be managed by selecting or deselecting the relevant permission. When the permission includes a mix of enabled and disabled permissions, the main permission status indicates the permission is partially enabled, using a half-filled green circle as the icon.

Individual permissions for a user role can be changed to the full enabled or disabled state at any time by changing the status for the main permission.

Settings: Feature Option Management (2021-01-16 Release)

Summary

The buttons to manage feature flags at the account, course, and user levels have been updated in design and functionality.

Change Benefit

This change aligns design consistency with other areas of Canvas (specifically the Permissions page) and allows admins to better manage subaccount- and course-level feature defaults.

Affected User Roles

All Users

The buttons to manage feature flags include an updated design, which simplifies the workflow and provides consistency for managing each feature. These design changes apply at the account, course, and user levels.

Specific features designed to apply to the subaccount or course levels include a lock icon next to the state of the feature. The type of lock icon determines if the feature can be managed at the subaccount or course levels.

Feature Option ChangesFeature Option Changes

Account-Level Allow

The workflow functionality for allowing a feature at the subaccount and course levels mimic functionality within the Permissions page.

For subaccount and course features, admins can choose to allow a feature at the subaccount or course levels by leaving the feature unlocked. Unlocking a feature allows it to display at the subaccount or course level and be managed by another admin or instructor, respectively.

As all feature options are ultimately enabled for all user accounts, admins can also manage the state of the feature to help with feature adoption. Admins can also specify the default state of the feature as either enabled or disabled. Feature states can be changed by clicking the icon and selecting the new state in the drop-down menu. For instance, if an admin wants to unlock a feature but default it to be used in all courses, an instructor who does not want to use it would have to turn it off. Likewise, if an admin wants the feature to be available but default to off, an instructor would have to turn it on to be used in a course.

Feature defaults to on but can be managed; feature defaults to off and can be managedFeature defaults to on but can be managed; feature defaults to off and can be managed

Account-Level Off and On

Admins can continue to enforce a feature for the entire institution, or leave a feature disabled for the entire institution. To enable a feature across the institution, the feature should be enabled and locked. Otherwise, the feature remains disabled and locked. Locking the feature option ensures the feature cannot be managed at a lower level.

Subaccount-, Course- and User-Level Visibility

At the subaccount, course, and user levels, displayed feature options can be enabled or disabled. The state of the feature is displayed by the icon as either a green check mark (enabled) or a red X (disabled).

Note: Only features that can be managed in the subaccount, course, or user settings page are displayed in the settings list. If an admin has locked a feature option (whether it be enabled or disabled), the option does not display anywhere else within the account as it cannot be managed at other levels.

Bounced email tab is a nice add for admins to identify flagged emails without needing to masquerade as the user. Would love the added ability to unflag the bounced address for verified emails without having to create a ticket with support.

Comments were turned off in the 12/19 release notes, but I just want to add to the pile of requests to please add the "Student View" text back to the button on the homepage. The smaller unlabeled icon is harder to find.

Happy new year all 🙂

I am hoping that it is just the new year /summer holiday (I'm in Oz) slow start that is causing me some confusion with the seemingly simple feature option management feature flags button / not-button. I'm finding that it is not intuitive at all. Course level is fine. But account level lock / unlock has baffled me. Perhaps some more text around the lock / unlock symbol would help, or hover over text so that I don't accidentally lock something down at root or sub account level. I have read the notes a couple of times, watched the demo video a couple of times and played around in beta a tiny bit, but still do not find the instructions simple. As I said, maybe it is just me though, and perhaps my brain hasn't yet commenced work for 2021. Be eager to read if anyone else had a similar experience.

@erinhallmark I'd like to second @kirsten_ryall 's comment above - the Admin feature options change is not intuitive (disabled + unlock = "allow" essentially?). Tooltips would be nice.

Most pressing in my mind is concern that the UI switch may change some of our feature options unintentionally. The conversion to the new UI seems to have altered our feature option settings when I compare Prod to Beta, especially where "allow" was selected in Prod, but I've noticed mismatches between Beta and Prod for all three settings (off/allow/on) in the Prod UI. What is being done to ensure that feature option settings do not get changed with this release?

Thank you.

@atcarver ,

As far as I know the feature options are not sync'd between Prod and Beta/Test (which is probably good so things can be stay enabled in test or beta for an extended time without the option getting shut off each month).  When we enable a new feature in Prod, I always log in to Beta and Test and enable the feature in those environments as well.

-Chris

@chriscas Thanks for that. While I've synced these before for testing purposes, I know they can get out of sync over time. I guess I should reframe my question to ask whether there's any concern that the UI change could impact those Prod settings in the release.

@atcarver the change is strictly an interface one; the backend is showing how the feature options were previously set for your institution. You may want to confirm the options after Saturday's release, but you shouldn't need to worry about any of them changing in production to something other to how you had them set.

We will look into adding tooltips to help with the clarification!

Thanks,

Erin

@erinhallmark we appear to be seeing an issue when trying to add a Course Image to assignments and other new RCE pages in the BETA environment ahead of tomorrow's release. We are not seeing these errors in our PROD environment, where we also use the new RCE - this appears to be a bug in the new RCE in the beta environment right now. This has been confirmed as present in a separate instance at our school as well.

I've reported this to support as well.

@erinhallmark I am looking for the MathJax update to the RCE that was supposed to be included in the 1/16 release. It looks like it's working great in Beta now, any idea when it will be released to Prod?

https://community.canvaslms.com/t5/Deploys/Canvas-Deploy-Notes-2020-12-02/ta-p/423692#toc-hId-697921...

Thank you!

The change to the permissions removed certain permissions from people that should have them and gave these permissions to people that should NOT have them. And when giving the permission back to the role that should have it, it appears not to actually give them back the permission. The circle is completely green, everything is checked, but no joy.

Also, when reading the various notes about different permissions, they are still referring to "Course Sections" which no longer exists with that label.

@lesley_cryderma We'll have the notes in the permissions updated shortly!

For changing permissions, sometimes with caching it will take a bit of time for the permission to go into effect.

@lftapper see the notes that we just published! Canvas Release Notes (2021-02-20)

Thanks,

Erin
