SUB ACCOUNTS - transferring subaccounts

I’m in the process of organizing how we gather data for our programs.
Is there a way to easily move subaccounts to a different parent? For example, we have a Business School, and under the Business School there are different programs. Under each program, there are different subjects. I’d like to move a subject from one program to another. What’s the easiest way to do this?

Hello @dasaquino !

Sub-accounts are very helpful for organizing courses and giving specific people administrator access to them. When it comes to managing them or moving them however its a whole different story! Nested sub-accounts cannot be easily "moved" from one sub-account to another, instead there has to be a series of steps taken to re-organize and move the courses in one sub-account and to re-associate them to another sub-account.

The process will likely take multiple steps but it is possible if you are wanting to move forward with it. Here is a general outline that you'd need to follow to make this happen.

  1. Create the new sub-account under your "parent" where you want all the courses to be associated under. Once your new sub-account exists go to "Settings" for that sub-account >> and add a "SIS ID" for your new sub-account. Don't forget to click "Update Settings" at the bottom.
  2. Go to the pre-existing sub-account that currently holds all the courses you are wanting to move. Click "Settings" >> "Reports" and run a SIS Export Report for "Courses" and include "All Terms". (This step will only work if ALL of your courses in this sub-account have a Course "SIS ID" otherwise you will have to manually add a SIS ID to courses that don't have one, or manually change the course to the new sub-account).
  3. Open your "SIS Export File" for Courses and you will see a column/header for "Account_id". In this column change the SIS ID to the new sub-account you just created and run the import on your "SIS Imports" page.
    1. This final step will update all of your courses into the new sub-account and should not cause any data loss in any of the courses. If there are any remaining courses in the sub-account it will be because they did not have a Course specific SIS ID and did not update from your SIS Import.

Please let me know if you need further assistance and once all the steps are said and done you should be able to delete your old sub-account and be able to use the new sub-account you have setup for statistics and data. Keep in mind, the only way to delete an old sub-account is if no courses are associated to that sub-account. Also, if you have any sub-account admins don't forget to re-add them to the new sub-account you plan to use going forward.

Please reply if you need more assistance!
