Intelligent Insights Permissions Now Separate from Admin Analytics

We're excited to announce an update to the Intelligent Insights permissions structure that makes it easier than ever to extend the value of Intelligent Insights to more users across the institution without compromising privacy and security.  Now you can give  the right people the right access to data, without overwhelming them with unnecessary information.

You can now grant your admin users access to specific Intelligent Insights modules like "Students in Need of Attention" and "Course Readiness" without also giving them access to the broader Admin Analytics suite.

With this permission structure, you can empower your staff—counselors, advisors, deans, principals, instructional designers, and others—with the targeted insights they need to do their jobs effectively, while maintaining data privacy and security.

Here's how it works:

Previously, to view any of the powerful dashboards in Intelligent Insights, a user needed to have the Admin Analytics permission, which gave them access to course and student data that did not necessarily serve them. 

With this update, you can now give users access to Intelligent Insights modules directly. All you need to do is:

  1. Make sure the user role has the Intelligent Insights module permission and the Analytics Hub permission.
  2. Do not grant the role the Admin Analytics permission.

When a user with this role goes to their Analytics Hub, they will see links to only the Intelligent Insights modules you've granted them access to. They will also see only the modules they have access to in the app’s top navigation bar. This streamlined view ensures they can quickly find the information they need to act, without getting lost in data they don't need.

This change is about making data more accessible and useful to the people on the front lines, helping them make more informed decisions to support students and improve learning outcomes. We're committed to creating tools that are not just powerful, but also intuitive and secure. We hope this new feature helps you better serve your teams and your students.

This is exciting news, @carlycurran and makes Intelligent Insights more valuable. This is perfect for the student success teams (SSTs) we have at my college. They contact students in need and provide resources and referrals as necessary. Currently our instructional faculty make the initial referral to the SSTs. One challenge of our this process is it requires vigilance and initiative from instructional faculty; giving our SST colleagues direct access to this information is promising!

I did some testing and created an admin role for the SSTs. The role has only two permissions - Analytics Hub and Intelligent Insights - Students in Need of Attention - Course Level. This adds the Admin button to global navigation for users with that role, and they can see the subaccount in which they are enrolled with this role. However, when the user selects that subaccount they also see several other links that give them access to information they won't need and might inspire resistance once instructional faculty find out about some of this access.

The biggest concern I have is about the Course Readiness tool, which is on the Analytics Hub page alongside the Student Success tool. Our instructional faculty will balk at anyone else being able to judge whether their courses are ready, and inappropriate access to this information will understandably be questioned. I do not see this permission separately listed, like it is for Students in Need of Attention. Please make this a separate permission. That will make it easier to advocate for Intelligent Insights at my college.

@ProfessorBeyrer So glad to hear it! And yes, each of these modules is currently a separate permission and if a user does not have permission to one of them, it will not show up in that user's Analytics Hub. 

For example, the sub-account role in this example does not have access to Course Readiness or Ask Your Data:

Thanks @carlycurran for that clarification. I relied on the slide-out tray for the individual role and did not take a thorough look on the permissions table. I learned that the sub-permissions for Intelligent Insights do not appear on the individual role's tray.

One more hope for this tool: It would be great for the subaccount-wide view to respect the different criteria for when a student is in need as determined by various instructors. For example, I practice ungrading and therefore my students' course scores might look very different than my colleagues who grade with a traditional points system. My determination of in need will focus more on other criteria (like last participation date and missing submissions) and not the minimum course score. For our online classes, the criterion related to discussion posts is more likely to be important than it is for our in-person classes, and so on. 

It's easy to imagine a situation where a student is incorrectly identified as being in need, especially since the default criteria will likely only use the minimum course score criterion. Since the subaccount report lists each course for each student that is in need, I hope that it's a reasonable task for the report to check if the default criteria has been edited for the course and then only report students who are in need based on the course's edited criteria.
