Hi there,
Oddly specific question. We've been having some difficultly with organising separate meetings for Tutorials/Workshops using Canvas Groups. I'm supporting a Course Coordinator with this issue. Here is their question:
"Our cohort is large and we want instructions on how to set up “Teams classes” for 10 classes with 10 different tutors in different times.
For example, we found that the TC will create a Teams meeting for Class 1 with Tutor X, but all the students and staff in the course will receive the calendar invite. When creating the Teams meetings for Class 2 with Tutor Y, all the students and staff will receive another invite, and so on, for all the classes. ( if you have 10 classes running x2 tutorial/week>>>> students and staff receives 20 calendar invite)
This creates confusion among the students and tutors.
Therefore, TC chose to set up team meetings via their Personal Teams Calendar and enter the student manual to avoid confusion. And this means they need to upload the link for the recording manual to the Course site. This process is laborious for TC and the error margin is high."
I think I have a solution, but wanted to see what others might have come up with.
Basically, manually create 10 private channels in MS Teams relating to this specific course and then manually added the associated Canvas Groups. E.g.,
This way, all the students and staff will receive the appropriate invites and not get 20 calendar invites and end up with a cluttered and confusing calendar and reduces staff workload.
Does that make sense?
Hi @Matthew2022 ,
I think you can also create a different 0-point assignment (or discussion) for each group/team and assign only the students in that group to it. You can then provide the specific calendar/invite information in the assignment for students to sign up to. Then, only the students associated with that assignment should have access to the invites. In your case, that does mean creating 10 separate assignments, which will add length to the gradebook table columns, but this method won't require extensive maintenance and should prevent confusing invites.
Thanks,
Tanya

Hi @Matthew2022 I am with @TanyaUponAvon on this one, although we tend to use discussions for this purpose (Pages can now be assigned, but that might require sections rather than groups [they behave differently). So ether you'd need to replicate the discussion x times for x sub groups, or you'd need a single discussion organised by groups (in a group set) with a separate thread and link for each group (t would be different with sections).
Sorry - I don't have experience with Canvas created Teams, but it also sounds like you may need channels. With a very large course such as this you may also need to consider section visibility, and whether students can see recordings of students not in their sub group, from a Data Protection / GDPR perspective.
