Asset Collections

An Asset Collection (or Asset Set) is a group of assets within an account that are to be aligned or reported on together. Some examples of Asset Collections are:

  • All 4th grade Math lessons
  • Chapters from within a specific Unit
  • Writing assessment items

When creating asset collections, keep in mind groups of assets that will be easy to align together. They don’t need to be from the same asset type. Asset Collections can also be used when making assignments (a given aligner aligns one Collection), and when determining phases of Projects.

Creating an Asset Collection

To create a new asset collection:

Select Create Asset Collection from the Assets menu. A page such as the following appears:

The chart on the right side of the screen displays the assets that are in your Asset Collection. When you first begin, the chart contains all assets in your account, as you have not selected any filters. You can sort by any of the columns in the chart by clicking the column header. You can also display the asset view for a particular asset by clicking the “Show” link in the Asset View column next to that asset.

At the bottom of the chart, you can elect to display more or fewer assets using the drop-down menu on the right. You can also move through the pages of assets in the chart using the “First,” “Previous,” “Next,” and “Last” buttons.

On the Asset Collection screen, there are several search options to select a group of assets. On the left side of the screen, you can select assets by grade, subject, asset type or any other asset property that is searchable.

To open a filter, click its name (click “Grade” to display grades). Next to each entry you will see a number that displays how many assets are in that filter. For example, in the image below, there are 14 assets in 6th grade. Click on the item to add it to the collection. It will then appear at the top of the box, with the option to delete it.

If the Calculate & Rank Filter Relevance box is checked when you open a filter, only the appropriate options will be displayed, along with the number of assets in parentheses next to it. For example, if you open the Subject filter with Calculate & Rank Filter Relevance checked, Math will not be listed if there are no Math assets.

With each filter you add, you will notice that the chart contains fewer assets, as it will only contain the assets that fit the filters in the collection. The chart enables you to check the collection to ensure you are getting the assets you need.

You can also create asset collections that contain other asset collections. For example, if you want to create an asset collection that contains 4th and 5th grade math assets, and you already have an asset collection that contains 4th grade math assets, you can create a new collection starting with the existing 4th grade math collection. To do this, click the Asset Collections filter from the Available Filters section, and select an existing asset collection as you would any other filter.

You can also search by keyword or ID using the Search bar. This will add that keyword filter to the asset collection.

You can also click the “Advanced Search” link to search by other properties in the asset.

In the Advanced Search screen you can search any of the properties in the assets in the account. A list of those properties is at the bottom of the screen. Check the boxes next to the asset properties that you would like to search.

At the top of the screen are search boxes. You can search for any in a list of words (top box), an exact phrase (middle box), or exclude certain words (bottom box) from the selected properties.

You can limit the search results by entering a count in the “Limit Results” box at the bottom of the screen. Then click the “Search” button. The search results will appear in the chart on the main screen along with the other assets in the collection.

Once you have selected all filters, and the chart contains the assets you want to use, click the Publish button.

Editing an Asset Collection

To edit a collection, select Manage Asset Collections from the Assets menu. This takes you to the main Collection screen, where you can make changes to the Collection and publish it again.

Archiving an Asset Collection

To archive a standards collection:

  1. Select Manage Assets Collections from the Assets menu.
  2. Select the Asset Collection from the Active Collections drop-down menu, and click Archive.

Once a collection is archived, it is no longer available from any menus.
