Your learners' journeys do not stop at enrollment. Often, the most important data comes after a course has begun: license numbers, phone updates, mailing addresses. Until now, updating that information wasn’t possible in Canvas Catalog. With our new API-only, Post-Registration UDF Editing, Catalog makes it easy to keep learner data accurate and complete, even after registration.

At a Glance

  • Update User Defined Fields (UDFs) via API after registration

  • Perform single or bulk edits to both keys and values

  • Sync changes immediately to the UI for admin visibility

  • Support compliance workflows by updating data post-licensure

What Post-Registration UDF Editing Does

This new capability allows institutions to update registration information after the learner signs up. Whether it’s fixing a typo, completing a license field, or updating a phone number, these changes can now be made directly via the API and appear instantly in the Catalog admin interface.

It works for single updates or bulk corrections, giving you flexibility and control across a range of workflows.

Why It Matters for Admins

Before now, there was no way to edit User Defined Fields after a student registered. There was no option in the UI and no API support either. Any missing or incorrect data had to be accepted as-is or managed in external systems. That created gaps, workarounds, and frustration for teams trying to maintain accurate records.

Now, with Post-Registration UDF Editing, Catalog admins finally have a reliable way to:

  • Fix or complete learner data after registration
  • Add important fields like license numbers as they become available
  • Respond quickly to data change requests
  • Eliminate errors in certificates, reports, and compliance systems
  • Maintain Catalog as the trusted source of learner records

This is a foundational upgrade that removes a long-standing limitation. It gives admins more control, more accuracy, and more efficiency in a critical area of their workflow

Simple, Flexible, and Available Now

Post-Registration UDF Editing is available now to all institutions using the Catalog API.

Hi @matekiss! I just want to verify: does the API only work for the post-registration UDFs collected, and not work for the UDFs collected during enrollment?

Hi @rpsloan,

The API supports all User Defined Fields, regardless of whether they're collected during registration or enrollment. There is no technical distinction between when the UDF was submitted. However, UDFs submitted during enrollment will overwrite any values previously entered during registration. This is important for data accuracy, especially if institutions use both registration and enrollment forms to collect information.

Best,

Hi @matekiss great feature. Im wondering could this new flow of data integrate across into Saleforce via that Integration somehow? Or am i totally off the mark. not sure if UDFs cross over between systems. Thanks , Gareth

Hi @GarethLogan , absolutely, this is possible. With the help of the new Salesforce integration, we can sync UDFs.
