Deleting Years of Rubrics

We have years of rubrics showing up in our different courses.

The rubric doesn't show when you look under the rubrics tab, but only when you are searching/finding a rubric to attach to an assignment. There are different courses and rubrics showing and it starting to get very confusing.

Our district archives our courses every year, so we export last year's course into a "Sandbox" to make modifications and then import into newly created district shell.

We want the rubrics from the last year, but why are years of rubrics and courses showing?

Why is this happening and is there a way to delete/hide these "hidden" rubrics?

Rubrics created in previous courses or assignments, including those from archived courses or sandboxes, remain accessible when searching for rubrics to attach to new assignments. This is because when you use the 'Find a Rubric' tool, Canvas displays rubrics from all courses in which you have an instructor role, not just the current course. This can result in a long list of rubrics from multiple years and courses, which may cause confusion when searching for the correct rubric.

 

Rubrics may not appear under the course's Rubrics tab if they were created or attached in other courses or if they are associated with archived or imported content. However, they will still be visible in the rubric search interface due to your instructor access across multiple courses.

 

To manage this, you can:

  • Delete rubrics you created in your course by clicking the Delete Rubric button. Rubrics can be deleted even if they have been used in more than one assignment.
  • Archive rubrics to store old rubric content. Archived rubrics cannot be added to assignments, but if archived rubrics are in use, they remain in use. To allow an archived rubric to be added to an assignment, you must first un-archive it. In the Rubrics page, click the Archived tab, then use the Options icon to unarchive if needed.
  • Note that rubrics cannot be edited once they have been added to more than one assignment. To edit a rubric that is used in multiple places, you must first remove it from all but one assignment, make your edits, and then reattach it as needed.
  • If you wish to better organize rubrics rather than delete them, user scripts can help sort and organize the display of rubrics in the search tool, making them easier to find, though they do not delete the rubrics themselves.

 

The persistence of rubrics from multiple years and courses is a result of Canvas’s design to provide access to all rubrics across your instructor roles. To reduce clutter, regularly deleting or archiving unused rubrics and limiting instructor roles in old courses can help manage what appears in the rubric search interface.
