Hi,
We are reviewing our LTI/software review process, and I wondered what other Canvas schools do. Currently, we have the faculty member fill out 2 forms. One is a rubric that they have the vendor help them fill out. The other is a department review, which makes sure they have the budget for it.
Many don't like the rubric, so we get a lot of pushback. The rubric asks them to evaluate the software based on several categories, like accessibility, support provided, economic value, etc. There are 3 choices for each category: excellent, acceptable, and unacceptable.
Would anyone be willing to share their process and/or forms? I hope to revise the rubric so we can still gather key pieces of information, but not take a lot of time to complete.
Thanks in advance!
Hi @Justin_Reynolds,
This is a big question that could really go a number of directions. If you're going to InstructureCon this year, I'm actually part of a group who will be doing a presentation around this very topic, and it would be great to see you at our session!
At my institution, we really worked hard a couple years ago to document our processes for transparency. Our Use and Procurement of Digital Education Platforms, Tools, or Other Technologies | University of Mic... page is the result of the effort. It's a big lengthy, but it could be useful for you. The biggest thing I'd say is that no two schools/institutions are likely to use exactly the same process around this. There are so many variables and interconnected processes and procedures involved that everyone will likely have slightly different things that work for them. I hope some others may chime in here and post info about their own processes so people here in the community here can compare!

At a high level, our process is simple and has worked well since we adopted it a few years ago. The requestor fills out a simple form, then our IT team vets the external tool for accessibility and security. We approve all requests if it passes those reviews, the vendor can provide support, and the requestor has budget to pay for it.
Details about our process can be found in our IT Knowledge Base Article.
@sendres, just an FYI. The "IT Knowledge Base Article" link is behind a login screen for your institution.

@dbrace thanks for letting me know. I've adjusted the KB article settings and it should be publicly visible now.
