How to Manage a Product Workflow

How can LearnPlatform Administrators Manage Workflows?

LearnPlatform Organization Admin and Product Admin are able to view and manage workflows from the Workflow Dashboard. From the top menu Product>Workflows

 

Administrators can filter by workflow type (Date Driven & Product Vetting), and workflow progress (complete & in progress). Admin are also have visibility on the start date, current state, product status, and privacy status right of a product workflow from this dashboard.

Shortcuts can be found under the kabob menu in the far right column of the dashboard. These shortcuts include:  Preview Process, View Workflow, Stop Workflow, Delete Workflow, and New Workflow

 

What details are available about a Product Workflow that is in progress?

LearnPlatform Administrators have access to view all previously submitted Review Forms, Automations, and a Workflow Preview (including skipping steps). From the LearnPlatform Workflow dashboard click on the product to see more details

Any workflows associated with this product will be stored within the workflow details of the product. In this example, if ChatGPT had a new product workflow, and then one year received a date driven review workflow, all workflow details would be visible in the ChatGPT Product Workflow details. Note: Search by workflow name, filter by workflow type or progress.

Click on the Requested By: Name (blue) to see the form that was submitted by the Requester.

Click on the Assignee: Name to see the form that was submitted by the Reviewers. (see red boxes below)

A preview of the workflow is available in the upper left hand corner of the workflow details. If any steps of the workflow are skipped, there will be a toggle button that will allow you to see them.  

What actions can a LearnPlatform Admin take while a workflow is in progress?

Stop Workflow- Use this if the workflow does not need to continue. Example: the status has already been determined, big red flag

Click on the blue Stop Workflow button in the right corner of the product workflow dashboard. Include a message to the requester, and apply automations (set new status, set new privacy status, add new tag, remove tag)

Note: If the workflow is stopped it will not move onto the next step. The workflow can be restarted again, but it will start at the beginning of the workflow.

What actions can a LearnPlatform Admin take while a step of a workflow is in progress?

Add Assignee: Add an additional assignee to the in progress step.  

Click on the blue Add Assignee button, search for a person or group, and click Add.

Note: This current step will not be completed until all assignee's have completed their reviews.

Edit Assignee: Use this if you need to remove a reviewer from a step.

Click on the blue Edit button next to the Assignee, click the trash can to delete a reviewer  

Note: If all reviewers are deleted, LearnPlatform admin will be given the choice to mark the step as complete, or as skipped.

Send Reminders: Send a reminder email to reviewers that have passed their review due date

Click on the blue arrow on the right side of the in progress step.

What additional details are available about a completed workflow?

If enabled, an AI summary of the all the reviews submitted will be available after the final step. Below is an example of an AI summary:
