How do I filter data in the Inventory Dashboard?

As a LearnPlatform administrator, you can filter data in the Inventory Dashboard, provided you have installed the LearnPlatform Chrome or Edge Extensions across you student and educator groups. You can filter the data by organization, group, subject, grade level, approval status, and privacy status.

Data in the Inventory Dashboard also displays according to a reporting date and data source.

Note: Filters act as though AND operators are applied. For example, if you filter by Organization=Acme High School and Approval Status=Pending, the data displayed is only for products where both filters are true. ie. products marked as Pending where someone associated with Acme High School had usage.

Note: In order to filter by organization or grade level, rosters must associate user accounts of interest with an organization. Both students and teachers may be rostered. Uploading rosters should have been completed during implementation, however, if your organization did not choose to roster and would like to know, or if you are noticing discrepancies, please contact support at support-lp@instructure.com. They will provide you options for uploading rosters.

To create a teacher feedback request, click the Analysis drop-down menu [1]. Then click the Inventory link [2].

On the Inventory tab [1], click a data filter button [2] and select filter values. You can filter by:

  • Organization
  • Group
  • Subject
  • Grade Level
  • Approval Status
  • Privacy Status

Filter by Organization

If you are a member of multiple organizations, you can filter the data by organization by clicking the Organization drop-down menu and selecting an organization. Selecting an organization will show all usage of all users associated with that organization.

Notes:

  • In some instances, an organization may have elected to not share data. If a child organization limits data sharing (as set up in Settings > Memberships > Sharing Settings at the child organization), then the organization will be shown with a "not sharing" data note. In some instances where members are shared across organizations you will still see some data even when the only selection is a child who is not sharing data. That data is limited only to data for that individual and any data exclusively controlled by that organization is not shared.
  • Filtering by organizations is disabled for accounts with no child organizations. Typically school-level accounts do not have child organizations.

To filter by group, click the Group drop-down menu and click one or more group checkboxes.

To view data about products that are tagged with a subject, click the Subject drop-down menu and select one or more subjects. 

Note: If a product does not display when you filter by subject, it may be due to missing or incomplete subject tags. To update the tags, contact LearnPlatform by emailing support-lp@instructure.com.

To view data about products used by educators and students associated with a grade level, click the Grade Level drop-down menu and select one or more grade levels.

To filter by any status or any of your organization custom statuses, click the Approval Status drop-down menu and select one or more statuses [1].

To filter by any privacy status, click the Privacy Status drop-down menu and select one or more statuses [2].

Notes:

  • A special status of Not in Library is associated with any product that does not have a Product Status and is therefore not part of the organization’s product library. To view products that have not yet been approved but are showing some level of usage, select the Not in Library status.
  • If you create a custom status, it becomes available in the Inventory Dashboard after approximately two hours.
  • If you select both an approval status such as Approved and a privacy status such as Compliant, the Inventory Dashboard displays only products that have been tagged with both Approved and Compliant.
