How do I manage product display in the Public Product Library?
As a LearnPlatform administrator, you can manage the way products display in your organization's Public Product Library (PPL) through individual product settings or through status settings. You can access product settings through the Products Management page or directly in the Public Product Library.
To access product and privacy status settings, learn how to manage status visibility.
Notes:
- Before configuring the Public Product Library, you must enable the Public Product Library.
- To know whether a product is being shared in the PPL through product status settings or through status rule settings, a Revert icon displays on the product Management page. Learn more about the Revert icon.
- To learn more about product settings that affect the Public Product Library, you can also view this video: Creating and Sharing a Public-Facing Product Library
If a product does not display in the Public Product Library, check the visibility rules for both privacy and product status. If these statuses have conflicting status settings for sharing, the product may not display properly in the PPL. Learn more about product status and a privacy status.
Edit Product Settings

You can also control visibility in the Public Product Library through individual product details. To open the product details page, click the product name link from the Management page.

On the Product Settings tab, the following product settings display in the Public Product Library:
- Status: Product statuses control product visibility in the Public Product Library.
- Public Product Library Visibility: Displays the product in the Public Product Library when the Public Product Library Visibility toggle button is on.
- SSO: Displays automatically in the Public Product Library.
- Contract Expiration Date: Displays contract expiration date when the Share Contract Expiration to Public Product Library toggle buton is on.
- Comments from the Organization: Displays comments entered on the Public Library tab.
- Resources: Displays in the Public Product Library if Share To value is Public. You can learn more about managing resources.
Edit Product Settings From PPL Edit Mode

You can also control product settings for display in the Public Product Library directly from the Public Product Library in Edit mode. To view and edit the Public Product Library, click the Management menu [1].
On the Products tab [2], click the Manage Public Product Library button [2].
Manage Status Settings
Through status settings, you can specify whether products with a certain status automatically display in the Public Product Library. To manage status settings, click the Settings tab [1]. Then click the Statuses card [2].
Edit Status

Edit or create a product status or privacy status. Click the Include products with this status in the Public Product Library checkbox.
Learn more about status settings.
Notes:
- If a custom status is deleted, products with that status are assigned the mapped system status and assume that visibility.
- If a product is shared in the Public Product Library through status settings and the status visibility settings change, the product’s visibility will change as well. (This does not apply to products shared individually through product settings.)
- Even if a product has a status that makes it visible or hidden in the Public Product Library, you can use product settings to override the status visibility setting.
Manage Individual Product Visibility

To determine if a product is visible or hidden in the Public Product Library through product settings, click the Management menu [1], and then click the Products tab [2].
View the PPL Visibility column [3]. To make the product visible in the Public Product Library, click the toggle button on [4], or to hide the product, click the toggle the button off [5].
Notes:
- If you do not see the PPL Visibility column, enable your public product library.
- You may need to scroll to the right to view the PPL Visibility column.
Revert Visibility

If a product is visible via individual product settings (rather than through status settings), the Revert icon displays.
To make a product's visibility return to being determined through status settings instead of being determined through individual product settings, click the Revert icon.
Note: If you click the Revert icon and the visibility does not change, check the product status rules to make sure they are set up correctly.
